Minutes of the Annual General Meeting.
Date- 08-04-2018
Time-11am to 1Pm.
Venue-Clubhouse ,Majestique city.

Points Discussed and agreed:

  1. Finalisation of Maintenance per Sq/ft.=3.2 Rupees /sqft has been finalized for A Building and B Building. 
  2. Payment term 6 months/1 year, Based on fund availability and stability of society next term may be reduced to Quarterly.C1 maintenance/sqft will be shared later.
  3. Maintenance for flats on rent/lease basis. Will follow regular maintenance 3.2 Rupees /sqft + 250 Rupees/Flat will be charged. Applicable Buildings include A,B and C1.
  4. Fine agreement- as per sheet attached next.

Key Actions /Suggestions-

Some Actions which will help in reduction of Maintenance Amount were discussed
among all who were present in meeting.

  1. Seven Ion electricity third party survey to look for optimization of Electricity.
  2. Additional connections to divide load per each build and reduce cost for common applications.
  3. Seperate pipeline for water from some local river sources like Indrayani river to be evaluated and implementation after approval from local bodies.
  4. Tanker cost per 10000 litres to reduce from Rupees 900.
  5. Next meeting within 6 months to discuss on all expenses and reduction.
  6. Security cost reduction using other vendor options but not with compromise on any security measure.
  7. Facility manager appointment to coordinate all activities and support.
  8. Late fee /Defaulter list to be share hid on notice board and fine to be decided and legal actions against defaulters, not to allow others suffer.
  9. Share certificate to be shared only after clearance of dues.
  10. Maintenance first will be 6 months period and later if possible to convert to Quarterly basis.

Society General Rules:

  1. We have all faced problems due to inconsiderate acts or non-observance of rules. While it is difficult to specify all DOs and DONTs, we have compiled a list of rules to be followed to make our society a better place to live. Suggestions for further improvement are welcome.
  2. The following are strictly prohibited:- 
    • To do anything which may cause nuisance, annoyance or inconvenience to any of the members of the society or carry on practices which may be repugnant to the general decency or morals of the members and residents of the society.
    • To put potted plants on the ledge/sill of terrace/balcony/window. Falling pots can cause serious physical injury and damage property.
    • To allow pets to dirty common areas.
    • To throw garbage into open duct ,Common area or into neighbour’s car park.
    • To keep shoe racks, furniture, boxes, cycles etc. in the building lobby or in Corridors except covered Dustbins.
    • To stock or store goods or materials which are combustible or obnoxious or for storing of which requires permit/sanction of the competent authority under any law relating Thereto. 
    • To park vehicles outside of parking areas or to blow horns inside the society premises. 
    • To keep anything except vehicles in parking areas.
    • To enclose parking area either by putting chains, grills etc. 
    • To erect a permanent shed in the terrace area. 
    • To change the exterior paint of the flat. 
    • To put solar panels, dish antenna etc. on the terrace without the permission of the Society. 
    • To put any kind of grill in open balcony or to enclose the balcony in any manner. 
    • To make internal and external changes without the written permission of the Society. 
    • To allow domestic servants to reside without giving any information to society and without their police verification.
  3. All members of the society should provide their contact number, email Id and contact address if not residing in the society.
  4. To give flat on rent either on leave & license basis or in any other manner without a agreement and Police verification copy submitted to Society will not be allowed for shifting and parking inside premises.
  5. All tenants should provide a copy of registered leave and license agreement and a copy of police verification form to collect parking sticker from Society.
  6. Student tenant not allowed and working bachelor count not to exceed 4 and all names should be on agreement.
  7. Water taps open or any kind of water wastage if found from any flat will be fined as per charge sheet.
  8. Club house use for Birthday party /Occasion party needs permission from society and assignment will be first come first serve basis.Any damage will be charged on actual basis. No any kind of cooking is allowed.Charges as per charge sheet.
  9. Use of theater room in club house needs prior permission from society and damage to any instrument/projector will be charged on actual basis.Charges as per charge sheet.
  10. To ensure safety no one will be allowed to go to terrace without prior permission from Society.
  11. Dry and wet wastage to be kept separate , else housekeeping will not be allowed to collect waste from your flat.
  12. Spitting anywhere within society premises will be fined by Rupees 500.
  13. Parking fine will be imposed if found parked in other’s parking without permission.


Club House Rules:

  1. Entry to the club house is restricted to residents (tenants and society members) having valid society ID cards /access only. Visitors can accompany residents holding the society ID card and will be charged a flat fee of Rs 50 per visit, which will allow them to use the swimming pool, TT tables, Pool tables,Gym and Carrom board facilities.
  2. All residents are requested to co-operate with the clubhouse attendants and show their ID cards when requested and people without an ID card should pay the visitor’s fees to the club house attendant and collect receipt.
  3. Children below 12 should be accompanied by their parents while they are swimming.
  4. Children Below 12 are not permitted to enter the Gymnasium as they can cause injury to themselves.
  5. Swimming is permitted only in proper swimsuits for both men and women. Women are requested to use a swimming cap also. Diving in the pool is prohibited. It is mandatory to use the shower before entering the swimming pool. Do not use the pool beyond the pool timings as the lifeguard will not be on duty and the water circulation system will be off.
  6. Please maintain the bathrooms, TT room, Pool room,Gym and Carrom room in a neat and tidy condition in the interest of all residents. Please cooperate with the attendants and allow them to lock the facilities as per the closing Hours.
  7. The society does not take any responsibility for injuries caused to any one due to his or her negligence or health limitation or Parents negligence towards their kids while using any of the club house facilities.
  8. Residents are expected to take care of their personal belongings and the society will not be responsible for any loss of personal belongings within the club house area.
